General Terms & Conditions

General Information
American Receptive Tours reserves the right to substitute hotels of equal or better grade for those mentioned in the itineraries. American Receptive Tours reserves the right to alter sightseeing schedules when necessary. No refund will be given for any unused portions of any tour. Baggage is at the client's risk throughout any tour program. American Receptive Tours reserves the right to substitute the type of transportation when operationally necessary.

FIT BOOKING - DEFINITION
FIT booking is any reservation for Individual Travelers of up to 5 rooms.
If more than 5 rooms are needed for any type of product, it would represent a Group Booking and must be quoted separately by an authorized employee of American Receptive Tours.

ESCORTED BUS TOURS - GUARANTEED DEPARTURES

• Transportation in air-conditioned, vista-windowed busses with experienced chauffeurs.
  Professional guides to accompany the group.
  Porterage at hotel where mandatory.
  Accommodations in middle class hotel (or as described) all rooms with private bath/shower.
  All tours include a tour escort, transportation, sightseeing and admission as described in itinerary and orientation packet.
  Gratuities to driver and tour escort are not included.

SELF-DRIVE PROGRAMS

• The Self-Drive packages are fixed and will not be altered by request. Custom programs can be requested through our office.
  When booking, please use the published Self-Drive name.
  All documents, vouchers, maps and travel kits will be delivered to the passenger upon arrival in the city of Self-Drive departure.
  All rates include Hotel accommodations and hotel tax. Porterage, admissions and parking are not included.
  No refunds will be given for any unused portions of the tour.

QUOTATIONS
All quotations given by any staff member of American Receptive Tours, Inc are based on availability and subject to final confirmation upon signature of contract by both parts. Quotations are not guaranteed for any time period unless a request by the client was confirmed in writing by staff member.

OPTIONALS
As mentioned in each itinerary, we offer a number of good value pre-approved optional excursions. These optionals are carefully planned to add value and enjoyment to the tour and are offered on a voluntary basis to all passengers. We urge you to advise your passengers of these optionals as they may wish to bring additional money with them or plan their expenses while in the United States.

HOTELS
Double rooms usually provide two beds; however, rooms with one double bed are available upon request. Single rooms provide one bed and a triple/quad room usually provides two double beds. If a rollaway bed is required in triple rooms, there may be a small extra charge which is payable directly to the hotel. For three adults sharing a room, the triple rate per person listed for each tour will be charged. Children sharing the room with two adults will be charged at the child rate listed for each tour. Children's ages should be given when bookings are made. On certain tours, due to hotel policies, quads may not be available.

RESPONSIBILITY
The suppliers of transportation, sightseeing arrangements, tour escorts and hotel accommodations for the tour programs are independent contractors and are not agents or employees of American Receptive Tours. By utilizing their services you agree that neither American Receptive Tours nor any affiliated or subsidiary companies or representatives shall be liable for any accidents. Loss, injury or damage to you or your customers in connections beyond its control including breakdown of equipment, strike, theft, delay or cancellation of or changes in itinerary or schedules, etc. Remember also that travel documents, including visas, as well as compliance with customs regulations, are the responsibility of the clients. American Receptive Tours will not be responsible for costs incurred by passengers not having proper passport or visas.

RATES & ACCOMODATIONS

• Rates are quoted in US Dollars
  Rates are quoted including local taxes and no meals, unless otherwise stated.
  Featured accommodation are strictly Run-of the house unless otherwise stated.
  All accommodations are offered with existing bedding and occupancy as indicated.
  All rates are based on availability and subject to black out dates
  

GROUP PROCEDURES
All group reservations are subject to quotation given by a staff member of American Receptive Tours to the client. All rates are subject to change until signature of Contract. All Group reservations are PRE-PAYMENT.

CANCELLATION GROUP
Due to administrative cost and supplier policies it is necessary to charge cancellation fees.
All Groups have an individual contract with cancellations policies.

PAYMENT GENERAL INFORMATION

• Payments are accepted in U.S. Dollars only.
  Banks draft or check drawn on an U.S. Bank payable to American Receptive Tours Inc.
• Wire transfer: please indicate payment reference on wire transfer and fax copy of bank confirmation.
  Any service fees charged by banks for processing will be charged back to sender.

OTHER NOTICES
American Receptive Tours shall not be liable for circumstances beyond its control including weather (Hurricane, Tropical Storm etc), road conditions and breakdowns. American Receptive Tours assumes no responsibility for lost or damaged baggage or personal BELONGINGS or for any items left in the Bus. While every effort is made to ensure specified times are met, if the bus is late in excess due to unforeseen traffic, uncontrollable weather conditions (Hurricane, Tropical Storm etc), or other circumstances beyond our control, the customer will be inform about the situation of the tour.
